Description

Title: Admin Assistant - Accounts
Report to: Finance Manager
Based at: Procam London

Overview:
Fundamental accounts admin assistant role, supporting after the core day to day activities for the finance department. Not necessarily an accountant role as more of a support function, would suit someone well organised and methodical.

Key responsibilities::
The positions will cover a broad area of responsibilities including:
New customer account forms
Liaising with bookings department
Checking form for completeness
Phoning credit references and insurance companies given to make sure legit.
Liaising with Finance manager over deposit required.
Setting up new account on internal systems (Sage 50 + office manager)
Taking payment of deposit.
Posting payment onto Sage.
Refunding deposit once advised to do so.
Checking Sage for correct entries, money in and money out correctly.
Organise paperwork / filing.

Accounts Payable function:
Inputting invoices
Match to PO
Proactively deal with queries.
Accurate data entry / correct coding of invoices.
Quick turnaround (fast but accurate inputting).
Supplier Reconciliations
Top 20 supplier recs done on monthly basis.
Ability to build relationships.
Proactively resolve issues (request copy invoices, liaise directly with management to get authorised or understand why not authorised).
Payment Runs
Create listing of suppliers to be paid on a weekly basis, reviewed by senior assistant and finance manager.

Accounts Receivable function:
Chase debts
Via email / sending statement and copy invoices.
Via phone if no response from email.
Build relationships.
Proactively bring ledger balance down.
Realise overall impact on cash flow.

Bank Reconciliations.
Input entries correctly.
Resolve queries promptly.

Petty cash
Control of petty cash tin (approx. £1k float).
Enforce procedures over receipts.
Cash handling.

Office support
Being first point of contact for finance.
Dealing with finance email address.
Answering and redirecting phone calls.
Filing
Other ad hoc projects.

Adhere to Procam TV Policies and Procedures e.g. Health and Safety and Confidentiality.

Requirements:
Has to be a hardworking, well organised and reliable individual who maintains a clean and controlled workspace.
Must be able to multi-task in an organised and concise way.
Approachable, friendly, sociable person who works well in a team environment and enjoys communicating with people across the company from Business Directors to Crew members.
Basic/Intermediate excel skills (would consider someone with basic functionality for sums and functions etc.).
Attention to detail with self-reviews a must to ensure accuracy of work.
Pro-active and someone who questions processes to make sure they are efficient.
